Yix Labs ("Yix Labs," "we," "us," or "our") provides an AI-powered virtual receptionist platform for service businesses. This Privacy Policy describes how we collect, use, disclose, and safeguard information when you use our website, dashboard, voice services, and related products (collectively, the "Services").
1. Information we collect
We may collect the following categories of information:
- Account and workspace data: business name, workspace ID, contact email, configuration settings, and authentication records.
- Call and communication data: caller phone numbers, call metadata, recordings, transcripts, message content, and appointment details captured by the AI receptionist.
- Technical data: IP address, browser type, device identifiers, cookies, session logs, and activity timestamps.
- Support and contact data: information you submit through contact forms, onboarding, or support requests.
2. How we use information
We use collected information to:
- Provide, operate, and improve the Services;
- Route calls, book appointments, send notifications, and display dashboard activity;
- Authenticate users, secure workspaces, prevent abuse, and maintain audit logs;
- Respond to support requests and communicate about setup, billing, or service changes;
- Comply with legal obligations and enforce our Terms of Service.
3. Call recordings and transcription
Calls handled through the Services may be recorded and transcribed for quality assurance, training, dispute resolution, and operational review. Recording disclosures are presented to callers as configured for your workspace. You are responsible for providing any additional notices or consents required by applicable law for your jurisdiction and industry.
4. Health-related information
The Services may process information related to appointments, patient or client names, callback numbers, and reasons for visits. Yix Labs is a technology provider. Unless we enter into a separate Business Associate Agreement with you, we do not act as a HIPAA-covered entity or business associate. Customers in regulated industries are responsible for determining whether HIPAA or other healthcare privacy laws apply and for configuring the Services accordingly.
5. How we share information
We may share information with:
- Service providers that help us operate the platform (e.g., telephony, speech, AI, hosting, email, database, and analytics providers);
- Your authorized users within your workspace dashboard;
- Legal and safety recipients when required by law or to protect rights, safety, and security;
- Business transfers in connection with a merger, acquisition, or asset sale, subject to this Policy.
We do not sell personal information.
6. Data retention
We retain information for as long as needed to provide the Services, meet legal obligations, resolve disputes, and enforce agreements. Retention periods may vary by data type and workspace configuration. You may request deletion or export of certain workspace data by contacting us, subject to legal and operational limitations.
7. Security
We implement administrative, technical, and organizational safeguards designed to protect information, including encrypted transport (TLS), access controls, tenant-scoped authentication, hashed passwords, HttpOnly session cookies, and least-privilege service credentials. No method of transmission or storage is completely secure; we cannot guarantee absolute security.
8. Your choices and rights
Depending on your location, you may have rights to access, correct, delete, or restrict certain processing of your personal information. Workspace owners can update settings in the dashboard and contact us at yixlabs@gmail.com for additional requests.
9. International users
If you access the Services from outside the United States, you understand that information may be processed in the United States and other countries where we or our providers operate.
10. Children
The Services are not directed to children under 13, and we do not knowingly collect personal information from children.
11. Changes to this Policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the version date above. Continued use of the Services after changes become effective constitutes acceptance of the revised Policy where permitted by law.
